This Privacy Policy explains how we collect, use, disclose, store, and protect personal data when you visit our website, use our platform, communicate with us, apply for roles, interact with us as a candidate, or engage with our services as a customer, partner, or business contact.

Where Alpine Hire processes personal data on behalf of a customer through our platform or managed recruiting services, Alpine Hire may act as a processor and the customer may act as the controller. In such cases, the processing is governed by the applicable customer agreement, data processing agreement, or written instructions from the customer.

2. Who this Privacy Policy applies to

This Privacy Policy applies to personal data we process about:

  • visitors to our website;
  • users of the Alpine Hire platform;
  • customers, prospects, partners, and suppliers;
  • candidates and professionals identified, contacted, assessed, or submitted through our recruiting services;

  • individuals who apply for a role at Alpine Hire.

3. Personal data we collect

The personal data we collect depends on how you interact with Alpine Hire.

Website visitors: IP address, browser type and version, device type, operating system, pages visited, time and date of visit, referral source, approximate location, cookie and analytics data, and interactions with forms, buttons, and pages.

Customers, prospects, and business contacts: name, business email address, phone number, company name, job title, billing and payment information, communication history, meeting notes, support requests, contract and order information, and usage data related to our platform or services.

Platform users: account information, login and authentication data, user preferences, role and permission settings, uploaded files and content, activity logs, workflow actions, search history, candidate interactions, notes, comments, scorecards, evaluations, and technical and security logs.

Candidates and sourced professionals: name, email address, phone number, location, current and past job titles, employers, professional experience, education, skills, languages, certifications, public professional profile information, CV, portfolio, salary expectations, availability, job preferences, interview notes, communication history, recruiter assessments, candidate scores, summaries, fit indicators, and information provided by you, our customers, or publicly available professional sources.

We do not intentionally collect sensitive personal data unless it is necessary for a specific recruiting process, voluntarily provided by you, or required by law. Customers and users should not upload sensitive personal data unless they have a lawful basis to do so.

Job applicants to Alpine Hire: application documents, CV and cover letter, employment history, education, contact details, interview notes, references where applicable, assessment results, and communication history.

4. Sources of personal data

We may collect personal data from you directly, our customers, platform users, candidates, publicly available professional sources, professional networking platforms, company websites, public business registries, recruiting databases, referrals, service providers, communication tools, and analytics and website technologies.

For candidates, Alpine Hire may process publicly available professional information in order to identify potentially relevant career opportunities, assess professional fit, and support recruiting workflows.

5. How we use personal data

To provide and operate our services: we process personal data to provide access to the Alpine Hire platform, manage user accounts, enable recruiting workflows, source and organize candidates, support candidate discovery and evaluation, manage outreach and communication, prepare candidate summaries and reports, deliver managed recruiting services, provide support, and maintain service availability and security.

To support recruiting and candidate evaluation: we may process candidate data to identify candidates who may match a role, evaluate professional experience, skills, and role fit, communicate with candidates about opportunities, prepare interview materials, create recruiter notes and scorecards, present candidate information to customers, and support customer hiring processes.

Alpine Hire provides recruiting intelligence and workflow support. Hiring decisions are made by customers and not by Alpine Hire alone.

To improve and develop our services: we may use personal data to understand platform usage, improve product functionality, improve recruiting workflows, measure service performance, develop new features, troubleshoot errors, monitor system performance, and improve security and reliability. Where possible, we use aggregated or anonymized data for analytics and product improvement.

To communicate with you: we may use personal data to respond to inquiries, schedule meetings, provide support, send service-related messages, send product updates, send relevant business or recruiting communications, and manage customer relationships. You may opt out of marketing communications at any time.

To comply with legal and contractual obligations: we may process personal data to comply with applicable laws, maintain business records, manage contracts, process billing and payments, respond to lawful requests, protect our legal rights, and prevent fraud, misuse, or unauthorized access.

6. AI-assisted processing

Alpine Hire may use artificial intelligence and automation to support recruiting workflows and platform functionality.

AI-assisted processing may be used for candidate search and matching, profile enrichment and structuring, summarizing professional information, generating candidate insights, preparing interview notes, extracting relevant information from documents, supporting recruiter workflows, improving communication efficiency, detecting patterns in recruiting data, and generating recommendations or fit indicators.

AI-assisted outputs are intended to support human review and decision-making. They should not be treated as final, complete, or error-free. Customers, recruiters, and hiring teams are responsible for reviewing AI-assisted outputs before relying on them.

Alpine Hire does not intend to make legally significant hiring decisions solely by automated means. Where automated processing is used, it is designed to support human-led recruiting decisions rather than replace them.

7. Legal bases for processing

Where GDPR applies, we process personal data based on one or more of the following legal bases: performance of a contract, steps taken before entering into a contract, legitimate interests, consent, compliance with legal obligations, and protection of legal claims.

Our legitimate interests may include operating and improving our recruiting platform, providing recruiting services to customers, identifying relevant professional candidates, communicating with business contacts, protecting our systems and users, developing our business, and ensuring service security and reliability.

Where we rely on consent, you may withdraw your consent at any time.

8. Sharing and disclosure of personal data

Customers: if you are a candidate, we may share relevant professional information with customers for recruiting and hiring purposes. This may include profile information, CVs, interview notes, scorecards, summaries, assessments, communication history, and role-fit analysis.

Service providers: we may use trusted service providers to help us operate our business and services, including cloud hosting providers, database and infrastructure providers, analytics providers, communication tools, CRM and sales tools, email and calendar providers, payment processors, security and monitoring tools, AI and automation providers, and customer support tools.

These providers may process personal data only as needed to provide services to Alpine Hire and in accordance with appropriate contractual safeguards.

Professional advisors: we may share personal data with lawyers, accountants, auditors, insurers, banks, and other professional advisors where necessary for business, legal, financial, or compliance purposes.

Legal and regulatory authorities: we may disclose personal data where required by law, regulation, court order, legal process, or lawful request by a competent authority.

Where Alpine Hire processes personal data on behalf of a customer, retention may be governed by the customer agreement, data processing agreement, or customer instructions.

We may retain anonymized or aggregated data for analytics, reporting, and service improvement.

11. Security

We use appropriate technical and organizational measures to protect personal data against unauthorized access, loss, misuse, alteration, disclosure, or destruction.

These measures may include encryption in transit, encryption at rest where applicable, access controls, authentication controls, role-based permissions, logging and monitoring, secure infrastructure, internal confidentiality obligations, vendor security review, backup and recovery processes, and regular review of security practices.

No system is completely secure. However, we continuously work to improve the security and reliability of our services.

14. Candidate-specific rights and choices

If you are a candidate or sourced professional, you may contact us to ask whether we process your personal data, request access to your candidate profile, correct inaccurate information, request deletion of your profile, object to being contacted about opportunities, ask us not to include you in future recruiting searches, or request more information about the source of your data where available.

We will handle such requests in accordance with applicable law and any relevant customer obligations.

15. Marketing communications

We may send business-related or marketing communications to customers, prospects, and professional contacts where permitted by law.

You can opt out of marketing communications at any time by using the unsubscribe link in the message or by contacting us directly.

Even if you opt out of marketing communications, we may still send you service-related or transactional messages.

16. Children

Our services are intended for business and professional recruiting purposes. They are not directed to children.

We do not knowingly collect personal data from children. If we become aware that we have collected personal data from a child without appropriate legal basis, we will delete it where required by law.

18. Customer responsibility

Customers using Alpine Hire are responsible for ensuring that their use of the platform and services complies with applicable data protection, employment, anti-discrimination, and recruiting laws.

  • having a lawful basis for uploading or processing candidate data;
  • providing required notices to candidates where applicable;
  • ensuring that candidate evaluations are fair and lawful;
  • reviewing AI-assisted outputs before relying on them;
  • making final hiring decisions independently;
  • complying with applicable employment and data protection obligations.

19. Data processing on behalf of customers

Where Alpine Hire processes personal data on behalf of a customer, we do so according to the customer's documented instructions and the applicable agreement.

In such cases, Alpine Hire may assist customers with hosting candidate data, organizing recruiting workflows, generating candidate summaries, supporting candidate evaluation, storing communications, notes, and scorecards, and providing platform functionality and support.

A separate Data Processing Agreement may apply where required.

20. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or business practices.

If we make material changes, we will provide notice through our website, platform, or other appropriate channels.

The updated version will be effective as of the date stated at the top of this Privacy Policy.
